Remote Team Meeting & Knowledge Stack

What a distributed team loses when nobody writes anything down — the meeting itself, the answers buried in old docs, and the last read before something reaches a client.

Capture, retrieval, drafting and a final proof, none of it needing a process anyone has to remember.

Questions about this stack

Isn't Otter.ai redundant if we already record calls in Zoom or Teams?

Partly, and the part that is not redundant is the point. Both platforms will give you a transcript of one meeting; Otter gives you a searchable archive across all of them, joins from the calendar without anyone remembering to start it, and pulls the action items out. If nobody on your team has ever gone looking for what was decided three months ago, the platform's own recording is enough.

Notion AI or Gemini — we cannot justify both.

Split them by where the answer lives. Notion AI is the better buy if your team's knowledge is written down in one workspace, because it answers from that and from the apps you connect to it. Gemini is the better buy if the work happens in Gmail, Docs and Meet and the knowledge is scattered through them. Buying both is defensible only once the wiki and the inbox are both load-bearing.

Does Grammarly still earn a seat when every tool here can rewrite text?

Its job is different: it runs everywhere you type rather than inside one app, and it enforces one house style across everyone. A team where four people write to customers in four registers is the case it solves. A team of two who both write well does not need it.
